Terms of service

These terms apply to your use of Fly Intake, a repair-shop recordkeeping service. By using the service, you agree to these terms. If you do not agree, do not use the service.
Accounts and authorized use
Use Fly Intake only for shops you are authorized to access. Provide accurate account information, keep credentials private, and protect your connected Google account. Shop owners and administrators are responsible for inviting appropriate staff and managing their access.
Your content
You retain ownership of the information and files you upload. You give the service permission to store, process, and display that content as needed to provide its features. You are responsible for ensuring you have permission to collect and upload customer contact details, vehicle records, photos, documents, and audio.
Acceptable use
Do not use the service for unlawful activity, upload malicious content, attempt to access another shop’s records without authorization, or interfere with the service. Access may be restricted or suspended to address misuse, security concerns, or legal obligations.
Google Drive and other providers
The shop owner authorizes their Google account for shared storage. All team uploads sync to FLYINTAKE_VEHICLES in that account. Staff sign-in is used only for authentication. Copies in Drive follow the owner’s Google permissions; app membership does not automatically share those folders in Drive. Google (including Gemini), OpenAI, and other providers may have their own terms, charges, and availability limits. Review those terms when using their features.
Repair records and generated work orders
Verify scanned VINs and vehicle details. Audio-generated work orders may contain errors and require human review. A generated draft is not customer authorization, a confirmed diagnosis, or proof that repairs were completed. Your shop remains responsible for repair decisions, customer approvals, and accurate records.
Customer messaging
Shops are responsible for obtaining customer permission for repair updates and review requests, keeping contact details accurate, honoring opt-outs, and completing sender registration required by their messaging provider. SMS and email use Pingram and may incur charges. Provider acceptance does not guarantee delivery. Unknown deliveries wait for a signed provider event before resending. Failed destinations cannot be retried in the app until contact details are changed. Keep private repair-status links confidential.
Storage and availability
The server stores original uploads, including files copied to Drive. Confirm that changes and uploads are saved before closing the app, and maintain appropriate backups of important records. The service may change or be temporarily unavailable. We do not guarantee uninterrupted access or error-free operation.
Disclaimers and responsibility
To the extent permitted by applicable law, the service is provided “as is” and “as available,” without warranties of fitness for a particular purpose or uninterrupted operation. To the extent permitted by law, the service operator is not liable for indirect or consequential losses arising from use of the service. Nothing in these terms limits rights or liability that cannot lawfully be excluded.
Privacy and account removal
Our privacy policy explains how information is handled. Contact your shop administrator about membership or record removal. Removing access or revoking Google permissions does not automatically erase stored records or copies already in Google Drive.
